Position Summary:
Axis Sports Academy is seeking a dynamic, detail-oriented, and highly professional Executive Assistant to support our executive leadership and front office operations. This role serves as the face of our academy, managing front desk responsibilities while also providing vital support in human resources, school administration, and financial processes.
The Executive Assistant will play a key role in ensuring smooth day-to-day operations across departments, maintaining accurate student records, facilitating onboarding and compliance efforts, and supporting entry-level accounts payable/receivable (AP/AR) tasks. This individual must be highly organized, technologically adept, and comfortable working in a fast-paced, student-centered environment.
Essential Job Responsibilities:
Front Desk & Reception
- Greet and assist students, families, guests, and vendors in a professional and welcoming manner.
- Answer and direct phone calls and emails; manage general inquiry communications.
- Maintain front office appearance and manage supply inventory.
- Coordinate visitor check-in/check-out procedures and enforce security protocols.
- Additional responsibilities, as needed and assigned.
Executive & Administrative Support
- Provide daily administrative support to the senior leadership team.
- Schedule meetings, prepare agendas, and coordinate calendars and appointments.
- Prepare reports, memos, and correspondence as requested.
- Handle confidential and time-sensitive information with discretion.
- Additional responsibilities, as needed and assigned.
School Administration
- Maintain and update student records in accordance with school policies and privacy regulations.
- Support the development and enforcement of standard school administration processes and documentation (e.g., attendance records, enrollment paperwork, immunization tracking).
- Assist with preparation of compliance reports and internal audits.
- Additional responsibilities, as needed and assigned.
Human Resources Support
- Assist with onboarding of new staff, including scheduling orientation, collecting documentation, and data entry into HR systems.
- Maintain personnel files and ensure confidentiality of HR-related information.
- Provide administrative support for employee leave tracking, timekeeping audits, and compliance tasks.

Finance & AP/AR Support
- Assist with processing vendor invoices and employee expense reports.
- Support entry-level accounts receivable tracking, including student billing documentation and payment posting.
- Coordinate with the finance team to ensure timely and accurate data entry.

Systems & Data Entry
- Enter and maintain accurate data in school systems including SIS (Student Information System), HRIS, and financial platforms.
- Provide basic systems administration support (e.g., setting up new user accounts, updating access permissions) under guidance of IT/HR/Finance leadership.

Minimum Requirements:
- Minimum 2 years of experience in a similar role or related/translatable skills.
- Experience in a school, academy, or customer-facing environment is highly desirable.
- Strong proficiency in Microsoft Office Suite and school/HRIS/finance systems.
- Experience with data entry and basic system administration tasks.
- Familiarity with school operations, student records regulations (FERPA), and standard HR protocols is a plus.
- Excellent verbal and written communication skills.
- High level of professionalism, confidentiality, and interpersonal awareness.
Preferred Qualifications:
- Proven experience in an executive assistant, administrative, or front desk role (preferably in education or athletics setting).
Education:
- Associate’s or Bachelor's degree preferred.
